Privacy Statement

This Privacy Statement explains how we collect, use and store your personal information, (this means any information that identifies or could identify you). 

PACE CLG is committed to protecting your privacy and complying with the General Data Protection Regulations 2018. This Privacy Notice sets out the basis by which we collect, use and disclose the personal data of our service users and employees / volunteers, as well as your rights in respect of such personal data. 

The entity known as PACE Housing Association CLG is also covered by this statement, as it is a subsidiary of PACE Ltd through common management control.

PACE is, for the purpose of the GDPR, the data controller and can be contacted by the details listed below.  

How we collect information about you

We collect and process data for a variety of purposes, which largely relates to the service user relationship that we undertake and for the day-to-day administration and staffing of PACE. 

Some examples of where PACE may collect, handle, manage, store and/or process data includes:

  • Assessing individuals for prospective service provision
  • Delivery of support services
  • Complying with our legal, regulatory, funding and contractual obligations 
  • Performing accounting and other record-keeping functions 
  • Undertaking criminal record vetting checks in particular for Employees, volunteers 
  • Providing HR, payroll and pension administration services 

Examples of data that may be collected/processed in the above procedures include:

  • Name
  • Age
  • Contact details (email, phone)
  • PPS number
  • Medical information
  • Criminal convictions
  • CCTV images

Lawful basis for processing

Lawful grounds for processing personal data, as set out in Article 6 of the GDPR will be applied to each data set (as set out above), as applicable. The lawful grounds are as follows and at least one will be applied to each data set: 

  • the consent of the individual; 
  • performance of a contract; 
  • compliance with a legal obligation; 
  • necessary to protect the vital interests of a person; 
  • necessary for the performance of a task carried out in the public interest; 
  • legitimate interests of PACE (except where those interests are overridden by the interests or rights and freedoms of the data subject).  

Who we collect information on

We collect personal information about: 

Service Users (current, former and potential service users) and staff / volunteers (current, former and potential staff / volunteers) 

How we use your information

We use the information we collect so that we can deliver our services to you. We use information to: 

  • provide support services
  • recruit and employ staff / volunteers
  • manage placements/allocations 
  • provide HR, payroll and pension administration services
  • manage tenancies/licence agreements
  • CCTV Images– we use CCTV images at our projects to maintain the health and safety of our service users and employees

Sharing your information

We will not share your personal information without your consent, unless allowed by law. Examples of organisations we may share your information with, where appropriate, are: 

  • PACE departments
  • Probation Services 
  • Local Authorities
  • Govt. Departments
  • Support agencies
  • Health services
  • IT systems: Salesforce, PayPal

Whenever we share your information, we will ensure that your personal information is handled under strictly controlled conditions and in accordance with the requirements of the GDPR while also upholding our ongoing responsibilities in service provision. 

We will not share your information with anybody without your express permission except in exceptional circumstances. Examples of this may include: self-harm, or threat to others or in situations of child protection issues such as physical abuse or exploitation.

PACE does not, and will never, share, sell or swap your information with other organisation for their own marketing purposes or commercial gain.

Keeping your information safe

We take looking after your information very seriously. We have implemented appropriate physical, technical and organisational measures to protect the personal information we control both on and off-line to prevent improper access, use alteration, destruction and loss. Your information is encrypted and stored securely on our servers in Ireland, which are maintained and updated by our IT service provider. We have strict agreements/contracts in place with all external service providers to ensure the highest levels of security and safety.  Information held by our website, such as customer accounts, are encrypted by our database and stored on our servers. Additionally, sensitive data such as credit card numbers are encrypted using third party payment system such as ‘PayPal’ with their advanced encryption technology.

The PACE website uses cookies. Cookies are files saved on your phone, tablet or computer when you visit a website. We use cookies to store information about how you use the PACE website, such as the pages you visit.

How do we use cookies?

Our website uses cookies to improve your experience while you navigate through the website. Out of these cookies, the cookies that are categorised as necessary are stored on your browser as they are essential for the working of basic functionalities of the website. Necessary cookies are always enabled on the site.

We also use third party cookies that help us analyse and understand how you use this website. These cookies will be stored in your browser only with your consent. You also have the option to opt-out of these cookies. But opting out of some of these cookies may have an effect on your browsing experience.

PACE may provide links to a number of other web sites that we believe might offer you useful information and services. However, those sites may not follow the same Privacy Policy as PACE. Therefore, we are not responsible for the Privacy Policies or the actions of any third parties, including without limitation, any web site owners whose sites may be reached through this Site. We urge you to contact the relevant parties controlling these third party sites or accessing their on-line policies for the relevant information about their data collection practices and privacy policies before submitting any personal information or other sensitive data.

Your rights

You have the right to ask for a copy of the information that we hold about you: you can request a copy by contacting PACE. Under GDPR, you have the right to:

  • Information about how and why their personal data is being processed, how long it will be retained for and the right to obtain access to that personal data. 
  • Have your access requests processed within 30 days of the request.
  • Receive this information free of charge
  • Have information corrected if it is inaccurate or incomplete
  • Request the deletion or removal of personal data where there is no longer a reason for the continued processing / storage of data and where consent is withdrawn
  • Restrict your personal data being processed further than was originally consented to
  • Object to direct marketing and scientific, historical or statistical processing
  • Lodge a complaint with the Data Protection Commissioner

Making a Complaint
